Microsoft 365 SharePoint Cleanup and Copilot Optimization Specialist (Short-Term Project)
A Washington, D.C.–based nonprofit organization is seeking a contractor to assist with modernizing our knowledge management environment. We are undertaking a project to clean and reorganize our SharePoint document libraries, build basic automation between Monday.com and SharePoint, and optimize our Microsoft 365 environment to maximize the value of Copilot’s AI-driven search features. This is a short-term, clearly scoped project ideal for someone with strong SharePoint technical skills and direct experience supporting Microsoft Copilot optimization in a live tenant. Scope of Work: The contractor will work closely with internal staff to: 1. SharePoint Cleanup: Review existing SharePoint Online libraries (approximately 15–20 priority libraries). Standardize metadata fields (Title, Status, Version, Review Date, Program Area). Tag final documents appropriately based on organizational standards. Archive outdated or duplicate files using retention labels and standard SharePoint best practices. Recommend light folder reorganizations as needed for usability. 2. Monday.com to SharePoint Automation: Build and test Power Automate flows to move finalized documents from a Monday.com board ("Unified Resource Board") into a SharePoint "Published" library automatically. Ensure proper metadata mapping between Monday.com and SharePoint. 3. Microsoft Copilot Optimization: Configure and tune the Microsoft Graph Connector to ensure that Copilot indexes only the finalized, properly tagged SharePoint documents. Advise on Copilot search best practices (metadata strategies, permission settings) to improve answer accuracy and reliability. Conduct basic testing to verify that Copilot retrieves correct documents from SharePoint using semantic queries. Project Timeline: Project start: As soon as contractor is selected (target mid-May 2025). Completion of SharePoint cleanup and automation setup: Mid-July 2025. Final Copilot optimization verification: Late July 2025. Deliverables: Cleaned and standardized SharePoint libraries (tagged and archived appropriately). Live Power Automate flow(s) between Monday.com and SharePoint Published library. Graph Connector configuration tuned for best Copilot retrieval results. Basic user instructions for maintenance and updating as needed.
