General Admin Assistant

We’re seeking a proactive, highly organized Virtual Assistant based to support our CEO and team with both administrative and general marketing tasks. If you’re detail‑oriented, take initiative, and enjoy contributing to marketing efforts, we’d love to hear from you! Administrative Support - Monitor and respond to CEO and team emails daily - Attend Zoom meetings and take clear, concise recap notes - Conduct a daily check‑in call with the CEO to align on priorities - Handle personal calls as needed (e.g., scheduling doctor appointments) - Act as receptionist: answer and route approx. 10 inbound calls per day - Set up Zoom links, send calendar invites, and create task reminders - Maintain dashboards, tracking sheets, and operational reports - Perform light data entry, online research, and process follow-ups - Help keep the CEO and team organized and accountable - Other admin tasks as needed Marketing Support - Assist with scheduling and publishing social media posts - Support basic email marketing campaigns and automations - Other marketing-related tasks as needed You Must Have: - Proven experience in both admin and marketing support roles - Proficiency with Slack, Asana, Google Workspace, Zoom, ChatGPT - Strong communication skills and conversational English (written and spoken) - A self‑starter attitude, high attention to detail, and the ability to manage time effectively - Comfortable working in a fast-paced environment with frequent communication - Must be comfortable using ChatGPT to assist with tasks like research, content drafts, summaries, etc. - Must be OK using your cell phone during work hours and receiving direct text messages from the CEO throughout the day We’re looking for someone long-term who will become an integral part of our team. We move fast and need someone responsive and fully in the loop at all times.
