Zoho CRM Expert Needed to Finalize Payment Tracking System for Leases and Loans (Including Automation) Description: We are seeking an experienced Zoho CRM consultant to review and finalize a custom-built CRM system designed to track payments related to lease and loan agreements. The foundational modules and lookup relationships have been created. We now need a professional to properly structure calculations, automate workflows, and configure reporting to ensure the system functions accurately, efficiently, and at scale. Existing CRM Structure: Modules: Accounts – Represents businesses or entities responsible for lease or loan agreements Contacts – Individuals associated with Accounts and Tenants Leases – Includes rent amounts and specific due dates (not limited to fixed monthly dates) Loans – Includes loan amounts, terms, and borrower information Payments – Connected via lookup fields to: Either a Lease or a Loan (not both) The related Account The related Contact Properties – Contains property details, including a subform used to log recurring property tax payments All payments are tracked through the Payments module and are currently connected only via lookup relationships. Property tax data is entered within the Properties module through a subform and is not yet linked to a broader payment tracking or reporting system. Project Requirements: We require the CRM to be configured so that: Payment Tracking: Each Payment record links to either a Lease or a Loan Payments are associated with the correct Account and Contact Lease and Loan records display: Total Paid to Date Remaining Balance Last Payment Date Next Payment Due Date Automation: Automatically update the next payment due date based on frequency or the last payment Update Lease or Loan status (e.g., “Paid in Full”) when the balance reaches zero Trigger reminders or alerts for upcoming or missed payments Property Tax Tracking: Configure recurring property tax payments recorded in the subform on the Property module Ensure these payments are visible in reporting and dashboards Enable tracking of due dates, payment history, and outstanding taxes per property Automate reminders for upcoming property tax due dates Reporting: Generate reports showing: Payments by Account, Contact, and Date Outstanding balances by Lease or Loan Overdue or missed payments Property taxes due or unpaid per property Ideal Candidate: Demonstrated expertise in Zoho CRM custom modules, roll-up summary fields, formula fields, and workflow automation Experience working with subforms and integrating subform data into parent-level reporting and alerts Strong understanding of relational CRM structures and best practices Ability to evaluate and optimize an existing CRM build Able to work independently, deliver a clean, functional solution with minimal supervision, and clearly document what’s built This is a time-sensitive project.
