Criminal Case Management System Advisor (Public Defender/State Attorney Experience)


I’m building a Case Management System (CMS) specifically for criminal law offices (State Attorneys and Public Defenders) and need an expert who deeply understands the operational side of criminal case management — NOT someone purely technical. You must know from direct experience what a criminal case management system must have — even the things that aren't obvious until you’ve worked inside these systems. I need help identifying and building out the full set of necessary workflows, fields, statuses, codes, triggers, and documentation for a properly functioning CMS, including but not limited to: Case Statuses (e.g., Open, Pending Disposition, Closed, etc.) Disposition Codes (e.g., Dismissed, Plea, Nolle Prosse, Guilty Verdict, etc.) Disposition Actions (e.g., Sentencing, Diversion Referral, Probation Start) Statutes Section (organized law/statute references by charge) Triggers and Workflows (e.g., setting deadlines, task creation based on hearing dates, event-based status changes) Document Templates and Document Tracking (motions, filings, lab reports, discovery, etc.) Case Notes, Event Tracking, Task Management Basic Reporting Needs (e.g., case aging, caseload by attorney, time-to-file metrics) I am not looking for a software developer — I'm looking for someone who: Has worked inside a CMS at a criminal law office (State Attorney, Public Defender, or similar) Understands what system pieces are required to run a criminal case from intake to closure Can review what I have so far and identify gaps — things missing that a system must have Can document the workflows, field definitions, status maps, code tables, and best practices Can recommend improvements based on real-world operations experience Ideal Candidate: Prior work experience in a criminal justice office using or helping manage a CMS (public sector only) Detail-oriented and familiar with how criminal cases flow at every stage (from arrest to disposition and post-conviction) Able to clearly explain what a good CMS should cover, and where mine needs to expand Deliverables: A fully documented outline of what my CMS needs to support (statuses, codes, triggers, documents, fields, workflows) A gap analysis of what is missing Practical recommendations for setting up a fully functional system Project Type: One-time project to define and document system requirements, with potential future consulting.
