Talent Wrangling Ensure 15 creators + crew are in the right place, mic’d, and camera‑ready. Vendor Liaison Confirm arrivals for chefs, barbers, estheticians, instructors, and transport. Transport & Meals Coordinate vans, airport transfers, meal breaks, and dietary notes. Problem‑Solving Handle last‑minute location swaps, late talent, gear hiccups—calmly. Central Communications Maintain a single project chat to push real‑time updates. Daily Debrief Submit end‑of‑day recap highlighting timing, issues, and next‑day notes. Must‑Have Qualifications 3+ years in event production, live‑show, or field coordination Mastery of Google Sheets / Airtable for call‑sheet workflows Strong talent‑wrangling and vendor‑management skills Cool head under pressure (weather, traffic, forgotten props) Comfortable traveling & working in villa/retreat environments Valid passport through Jan 2026; able to lift 35 lb gear cases Bonus: conversational Spanish for PR & Europe legs Timeline & Commitment Phase Dates Remote prep & planning Kick‑off June 14 On‑site Haus I Travel June 18 • Work June 19–24 • Return June 25 Post‑trip wrap & prep Haus II July 1–31 (remote, part‑time) On‑site Haus II Travel Aug 13 • Work Aug 14–24 • Return Aug 25 Deliverables Daily call sheets (finalized 48 hrs before each shoot day) Real‑time schedule updates in the project chat End‑of‑day reports summarizing timing, issues, and next‑day notes Full logistics wrap report after each leg Proposal Requirements Brief intro + two events/productions you coordinated (scope and role).
