Automation & Systems Setup Specialist (Yoga & Wellness Business)

Overview: We are a small but growing wellness business called Yoga to You that delivers yoga and mindfulness programming to individuals and organizations. We're looking for a detail-oriented Automation & Systems Specialist to help us streamline our client flow, internal coordination, and marketing processes using tools we already use (Squarespace, Acuity, Stripe, Google Workspace, and Mailchimp), plus set up new automations using Zapier. Scope of Work: You will design and implement workflows that: Streamline lead capture, client onboarding, and event tracking Integrate our current tools (Squarespace, Acuity, Google Drive, Stripe, Mailchimp) Automate tasks such as: Sending proposals and follow-ups Notifying internal team members of bookings Adding clients to nurture sequences Tracking payments and session progress Create easy-to-use documentation or videos for us to manage these systems long-term Tasks Include: Audit our current workflow for corporate and private clients Map and build Zapier automations to connect: Squarespace forms → Google Sheets / Gmail Acuity bookings → Google Calendar / Gmail / Mailchimp Stripe payments → Mailchimp segmentation + internal notifications Recommend and assist with setting up tools like: Slack (optional, for team coordination) HelloSign or PandaDoc for contract signatures Notion or Google Sheets for internal workflow tracking Create template emails in Gmail/Mailchimp for client stages (inquiry, proposal, follow-up, testimonial request, etc.) Provide documentation (PDF or Loom videos) so we can maintain systems in-house Requirements: Proven experience with Zapier automation (please provide examples) Strong understanding of Google Workspace, Stripe, Mailchimp, Squarespace, and Acuity Ability to recommend integrations/tools where useful Organized, communicative, and capable of building systems for non-technical users Bonus: experience working with wellness or service-based businesses Project Type: One-time setup project with potential for future optimization work (retainer or as-needed basis) To Apply, Please Include: Relevant experience and specific examples of automations or tools you've built Any platforms you've worked with that overlap with our stack Your estimated timeframe for setup and documentation Your rate and availability
