The Role As my right-hand person, you’ll handle the day-to-day details that keep my world turning smoothly. We’ll work closely together, so trust, reliability, and great communication are non-negotiables. Daily Responsibilities - Communication Gatekeeper: You’ll sift through emails, calls, and messages—flagging the important stuff and drafting replies when needed. - Calendar Wizard: My schedule can get crazy, so I’ll lean on you to organize meetings, manage changes, and make sure I’m not double-booked. - Travel Arrangements: Occasionally, I need to jet off somewhere. You’ll handle flights, hotels, and transportation so I don’t miss a beat. - Real-Time Firefighting: Urgent requests and phone calls pop up out of nowhere—you’ll jump on them and figure out next steps. - Confidentiality: Some things need to stay under wraps. You’ve got to be great at keeping sensitive info private. Weekly Responsibilities - Meeting Prep: Put together agendas, notes, and materials so I’m never caught off-guard. - Team Follow-Ups: Keep tabs on ongoing tasks and deadlines, nudging people when needed. - Reporting: Summarize key priorities and project updates so I always have a quick snapshot of what’s happening. - Document Magic: Draft, edit, and proofread reports, presentations—whatever’s on the agenda. - Project Support: Help me tackle special projects or research, gather data, and present it in a way that makes sense. Monthly Responsibilities - Project & Goal Progress: Make sure major projects don’t go off track. - Budget & Expenses: Keep my receipts and expense reports from turning into a total mess. - Vendor & Contractor Check-Ins: Help manage relationships and make sure contracts/subscriptions are up to date. Annual Responsibilities - Yearly Planning: Coordinate big events, conferences, personal time off—everything. - Performance Reviews: Schedule any team reviews and gather the necessary metrics. - Special Events & Holidays: Help plan holiday events, charitable contributions, or corporate gifts. Who I’m Looking For - Experience: Ideally, you’ve spent at least 5 years as an Executive Assistant or something similar, backing up senior-level folks. - Education: A Bachelor’s in business admin or something related is preferred (but not a deal-breaker if you have the chops!). Skills: - Incredibly organized (you can juggle a million things without dropping any). - Stellar communication—written and verbal. - Comfortable in Microsoft Office (Word, Excel, PowerPoint, Outlook) or similar tools. - Knack for prioritizing like a pro. - High level of professionalism and discretion—you can handle sensitive info. - Solid problem-solving skills and attention to detail.
