We need a proactive, highly organized Executive Assistant (EA) who can enhance our client experience, manage key administrative tasks, and support the CEO in staying focused on high-value work. This is a contractor role, with an expected 2-4 hours/day (up to 20 hours per week). Hours may start slow as we build the relationship and expand responsibilities. The Executive Assistant will work closely with both the CEO and the Online Business Manager (OBM) to ensure smooth operations, timely communication, and an outstanding client experience. You’re comfortable managing high-level client interactions, handling sensitive information, and ensuring the CEO’s time is spent on strategic priorities. You are tech-savvy, highly responsive, and able to manage shifting priorities with ease. What You’ll Do As our Executive Assistant, you will: ✅ Inbox & Communication Management (50%) Own the CEO’s inbox—triage, draft responses, flag priorities, and ensure no email goes unanswered. Manage client communications with warmth and professionalism, ensuring quick response times. Draft follow-ups, client updates, and other communications as needed. Work closely with the OBM to streamline operational efficiencies. ✅ Calendar & Meeting Coordination (25%) Own the CEO’s calendar—schedule, optimize time, and prevent conflicts. Ensure CEO is prepared for every meeting—provide background notes, talking points, and follow-ups. Coordinate internal and client meetings, sending reminders and ensuring smooth scheduling. Track deadlines and deliverables, working with the OBM to ensure nothing slips through the cracks. ✅ Client Success & Project Support (25%) Ensure high-touch client interactions—automate follow-ups, onboard new clients, and track engagement. Maintain organization-wide project timelines and deliverable tracking in collaboration with the OBM. Support in organizing and streamlining internal systems (e.g., updating databases, managing workflows). Handle light research, data entry, and administrative projects as needed. What You Bring ⭐ 3+ years of experience as an EA, Chief of Staff, Client Success Manager, or similar high-level support role. ⭐ Exceptional communication skills—clear, professional, and proactive. ⭐ Experience managing executive inboxes and calendars—you know how to prioritize and act with discretion. ⭐ Highly organized and detail-oriented—you don’t let things slip through the cracks. ⭐ Tech-savvy—comfortable with CRM tools, project management software, and email automation. ⭐ A proactive mindset—you don’t wait for instructions; you anticipate needs and take action. ⭐ Experience in a consulting or service-based business (preferred but not required).
