This role will support executive-level personnel by overseeing the organization, storage, and tracking of critical documents while ensuring compliance with industry regulations and certifications. The ideal candidate will have a strong background in administrative support, regulatory compliance, and records management, with excellent communication and problem-solving skills. ________________________________________ Key Responsibilities Document Management & Compliance • Develop, implement, and maintain an efficient document control system for storing, organizing, and retrieving records. • Ensure that all documents related to certifications, licenses, and regulatory requirements are up to date and accessible. • Regularly review and audit document storage practices to ensure accuracy and compliance. • Assist in the preparation, submission, and renewal of business and industry certifications. • Track and manage expiration dates of critical documents, licenses, and certifications. Certification & Regulatory Compliance • Monitor and ensure adherence to regulatory standards and industry compliance requirements. • Maintain a certification tracking system, ensuring all necessary renewals and updates are completed on time. • Research and stay updated on compliance changes, industry standards, and regulatory updates. • Coordinate with internal teams to gather required documentation for audits and compliance reviews. • Assist in drafting and maintaining compliance policies and procedures. Administrative & Executive Support • Manage executive calendars, schedule meetings, and coordinate travel arrangements. • Prepare reports, summaries, and presentations related to document compliance and certifications. • Act as a liaison between departments, ensuring smooth communication regarding compliance matters. • Handle sensitive and confidential information with utmost discretion. • Assist in the development of training materials and compliance documentation for employees. ________________________________________ Qualifications & Skills • Education: Bachelor's degree in Business Administration, Compliance, or a related field (preferred). • Experience: 2-5 years in document management, compliance, or administrative support roles. • Technical Skills: Proficiency in document management systems (DMS), Microsoft Office Suite, and compliance tracking software. • Organizational Skills: Strong ability to prioritize, multitask, and meet deadlines. • Attention to Detail: Meticulous approach to document accuracy, version control, and compliance tracking. • Communication Skills: Excellent written and verbal communication with a professional approach. • Confidentiality: Experience in handling sensitive business information and compliance data.
