We are growing our team and looking for a part-time Billing & Bookkeeping Assistant with strong accounting skills and flexibility to assist with admin/clerical tasks as needed. Exceptional attention to detail, accuracy, and organizational skills with problem solving is a must. Company equipment (laptop/monitor/cell phone) will be provided. Primary Responsibilities: • Provide bookkeeping & billing support • Reconcile AMEX and Bank statements including data entry into Quickbooks to keep accounts up to date (we use QB Desktop so this is not automated) • Accounts receivable tracking and ensuring timely payment is received by clients • Create weekly dispatch reports and process vendor payments and maintain the files/contracts and records as needed. • Tracking project costs against budget • Prepare Month End invoices and reporting. • Manage, Reconcile, and File 1099 Yearly reporting and correspondences. • Working between multiple systems to accomplish tasks (Quickbooks, Invoicing System, Ticketing System, Excel, Email, etc.) Secondary Responsibilities: • Provide admin/clerical support to the Operations Manager and CEO as needed/requested Backup Responsibilities: • Place equipment orders, track and follow up delivery confirmations • Prepare travel arrangements for our technicians as needed Desired Experience & Skills: • 1 to 4 years of experience in accounting and/or bookkeeping role (QuickBooks Desktop) • Excellent communication and interpersonal skills to work effectively with vendors, customers, and team members. • Strong familiarity with Microsoft (outlook, Teams, Word, Excel) • Ability to manage multiple tasks, meet deadlines, and adapt to changing priorities. • Detail and deadline oriented. • Must have reliable internet service.
