Hello, I am looking for someone to help with outbound phone calls and emails to an existing prospect list. We are a leadership development firm, a premium player in the field. Our foundational principles: 1. Science - The science is clear. A human-centric leadership approach drives extraordinary performance. 2. Practical – People have day jobs. Keep it simple and focus on what helps people rise to the occasion, to do what they didn’t think was possible. 3. Impact – Alignment to business goals is currency. If something doesn’t have clear alignment to business impact, it doesn’t get attention. 4. Partnership – We succeed when our clients succeed. We spend a lot of time making sure our outreach is value-adding for our prospects (heads of HR, chief people officers, senior learning & development people). We leverage both primary and third party research along with insights from other senior executives to differentiate our outreach from other players. You will be working from a list that has already been created, with a high percentage of accurate emails and phone numbers. I need someone to be the 'first outreach' of phone calls and emails as we look to schedule new discovery calls. To be clear: this is not about spamming people. I'm not looking for someone who wants to create an outbound email cadence and press 'go.' I'm looking for someone who is vested in taking a personal interest in engaging with a finite list of prospects. We do not annoy our prospects into submission or requesting to be removed; we are measured and targeted in our outreach. We win by quality, not quantity. We use polite persistence. You and I will work closely together, as penetrating this list of prospects is the #1 priority of the business. To that end I will be very particular with who we hire for this contract. I am looking for someone who is: - Organized - Detail-oriented - Knows that professional communications means zero tolerance for grammar and spelling errors. - Looks forward to picking up the phone - Is both professional and engaging on the phone / leaving voicemails, as well as over email I have listed below a set of expectations. Performance Expectations for Prospect Outreach Goal: To achieve excellence in outreach to prospects while maintaining clear and accurate records of contact information and outreach history. Expectations as we approach this goal: 1. 0% tolerance of controllable errors. We focus on what we can control. One of the things we can control is process. We strive to have processes that lead to zero controllable errors. This includes: • How the spreadsheet is managed and used to send emails & make phone calls to ensure no duplicate communications • How templates are used to ensure the right information is entered with formatting that looks clean and professional • Anything new that is customer/prospect facing must be tested and approved before it goes live. We always test first (examples: new email templates, outreach ideas, etc.), ensuring at least two sets of eyes review for bugs or unexpected issues. • Our motto: “Measure twice, cut once.” 2. Growth mindset. When mistakes occur or things don't go as planned, it is a learning opportunity. These are the questions we ask ourselves: • Looking backwards, what factor(s) caused it to happen? What needs to change, and how can we prevent this in the future? • Looking forward, what needs to be done to create a standard of excellence? 3. Clear and concise tracking & communication. The spreadsheet of prospects is the single most valuable commercial asset Varna Group has. It is our 'one source of truth' and therefore contains pristine information, including: • Accurate notes on when outreach has been conducted (or when outreach was not possible due to invalid contact information) • Clear and concise information in the notes when necessary (example: "3/12/25 - mobile phone number not in service") • When any contact is made with a prospect (email response or phone connection), note it in the spreadsheet AND share = text or call to Tony).
