Project Manager - Experiential Marketing & Brand Engagement


About the Role We are seeking a highly organized and detail-oriented Project Manager with a strong background in experiential marketing, brand engagement, and event management. This pivotal role will be the driving force behind the successful planning and execution of brand activations at special events, festivals, pop-up events, conservation events, and sporting events. The Project Manager will oversee all aspects of these events, from initial concept development and budget management to onsite logistics and post-event analysis, ensuring exceptional consumer experiences and brand representation. This role also involves managing teams of brand ambassadors and requires strong administrative capabilities to support overall event operations. Key Responsibilities • Coordinate with vendors and stakeholders, ensuring all contracts and agreements are properly executed and managed. • Maintain organized event files, documentation, and databases. • Assist with administrative tasks such as scheduling meetings, preparing reports, and managing event-related correspondence. • Proactively identify and mitigate potential project risks and issues. • Develop and manage comprehensive project plans, timelines, and resource allocation for each event, serving as the primary point of contact for all project-related matters. • Lead and mentor a team of brand ambassadors, providing guidance, support, and professional development. • Manage comprehensive onsite logistics including venue management, inventory management, scheduling, and setup/teardown procedures. • Oversee multiple activation booths and implement ROI measurement systems to track performance. • Execute innovative event concepts that align with brand strategy and marketing objectives. • Create immersive consumer engagement opportunities that drive meaningful brand connections. • Serve as the primary onsite representative for both Eclectic Activation and clients, ensuring a professional brand experience. • Maintain constant communication with remote team members via text, call, or email. • Participate in pre-activation calls and ensure all information, talking points, and brand messaging are thoroughly understood prior to events. • Assist with post-activation recaps, including documentation, photos, and survey compilation. • Handle pre-event logistics such as downloading parking passes, managing credentials, and coordinating venue access. • Track key performance metrics and provide comprehensive post-event analysis. • Oversee event budgets and timelines while maintaining quality standards.
