Project Overview: We’re seeking an experienced HR Representative or CFO-level professional to help us build and implement an efficient employee scheduling and payroll budgeting system for a high-volume hand car wash and detail shop. Our team includes 11 detailers, 2 assistant managers, and 1 general manager. The goal is to ensure proper labor coverage for daily operations without exceeding 40 hours per employee, while keeping overall payroll costs within budget. The right candidate will also provide practical tools and clear training materials to guide our management team in executing the new system effectively. Scope of Work: 1. Labor Analysis & Roster Planning Analyze current staffing structure and weekly schedule flow. Identify gaps in shift coverage and inefficiencies. Recommend labor distribution by day and time to meet operational demand. 2. Payroll Budgeting & Forecasting Build a payroll budgeting tool to manage weekly labor costs. Ensure no staff member exceeds 40 hours per week unless approved. Provide cost forecasts based on historical patterns and shift distribution. 3. Schedule Optimization System Create a weekly scheduling system that aligns with payroll goals and staffing needs. Include guidelines for shift rotations, off days, and flexible backups. Design a simple, editable scheduling template for ongoing use. 4. Management Training & Transition Materials Develop clear, step-by-step documentation to: Help our General Manager and Assistant Managers understand and manage the new system. Support the corporate office with oversight and future adjustments. Materials should be tailored for remote implementation (e.g., digital handbooks, workflow guides, and visual templates). Deliverables: Labor roster plan and coverage map. Payroll budgeting and forecasting tool (Excel, Sheets, or compatible). Weekly schedule template optimized for our operations. Management training package (PDF or Google Slides format preferred). Requirements: Proven experience in workforce planning, payroll budgeting, or operations strategy. Background in service-based industries (retail, auto, hospitality, etc.) is a plus. Ability to communicate clearly, work independently, and deliver on deadline. Strong documentation and presentation skills.
