Job Summary: The Event Lead will provide critical logistical and operational support to the Programs Department, directly assisting the Project Coordinator and Community Partnership Lead in the planning, setup, execution, and breakdown of event-related grant projects. Traveling to all events related to assigned grants, including some weekends, is mandatory. Key Responsibilities: Event Logistics & Operations: Assist with planning and organizing events, ensuring seamless coordination of logistics and supplies. Execute detailed setup plans, including arranging tables, chairs, signage, devices, and event materials. Provide active on-site support throughout events, addressing any immediate logistical needs. Efficiently manage event breakdown, ensuring materials are properly packed, organized, and transported. Source and book event vendors including food, entertainment, activities, décor, venues, and setup materials. Research customs and traditions relevant to event demographics to ensure appropriate event planning. Create detailed and accurate floor plans for event spaces. Manage venue logistics, including setup and compliance with venue-specific regulations. Possess an eye for event design, ensuring events have visually appealing and impactful outcomes. Travel & Attendance: Required to travel and be present at all assigned grant-related events, including weekend events as needed. Book and coordinate travel logistics for event-related traveling staff. Support Coordination: Support the Project Coordinator and Community Partnership Lead in ensuring alignment with grant deliverables. Communicate clearly and effectively with vendors, partners, volunteers, and internal teams. Help maintain organized documentation related to events and grant requirements. Administrative Support: Assist in preparing event agendas, timelines, and run-of-show documents. Track and update relevant tasks within the execution project to ensure accountability. Participate in meetings and provide logistical insights to support effective event execution. Budget Management: Adhere to and track budgets allocated for each event, ensuring expenses remain within approved guidelines. Vendor & Materials Management: Coordinate event-related materials, including overseeing timely shipping and delivery. Manage ongoing communication and relationships with all event vendors. Additional Responsibilities: Support inventory management of event supplies and equipment. Assist with collecting event feedback to continuously enhance attendee experiences. Contribute to promotional and outreach efforts related to events. Qualifications: Experience in event planning, event operations, or logistics coordination. Highly organized, detail-oriented, and able to manage multiple tasks simultaneously. Excellent communication and interpersonal skills. Ability to work effectively under pressure and adapt to dynamic event environments. Comfortable performing physical tasks associated with event setup and breakdown. Strong team player with a positive and proactive attitude. Proficiency with Google Workspace and Microsoft Suite. Demonstrated eye for design, aesthetics, and creating impactful event outcomes. Preferred Experience: Familiarity with nonprofit or community-focused events. Experience in visual or creative design projects.
