Job Summary We are seeking a detail-oriented and proactive Administrative Assistant with experience in QuickBooks and Buildium Property Management Software to support our property management and development operations. The ideal candidate will handle bookkeeping, tenant communications, and administrative tasks to ensure smooth business operations. This role is primarily remote, with a preference for candidates local to Sterling or Kenai, AK, for occasional in-person collaboration. Key Responsibilities • Bookkeeping & Financial Management: o Utilize QuickBooks Online to manage accounts payable/receivable, invoicing, and bank reconciliations. o Process rent payments, track expenses, and generate financial reports. o Assist with budgeting and payroll coordination. • Property Management with Buildium: o Use Buildium to manage tenant records, lease agreements, and rental applications. o Process maintenance requests, assign tasks to vendors, and track work orders. o Update property listings and communicate with tenants through Buildium’s platform. • Tenant Support: o Respond to tenant inquiries via email, phone, or Buildium’s messaging system in a professional and timely manner. o Coordinate move-in/move-out processes and ensure compliance with lease terms. o Assist with tenant screenings, including background and reference checks. • Administrative Duties: o Manage calendars, schedule appointments, and coordinate meetings for the management team. o Prepare and distribute professional correspondence, including emails and letters. o Organize and maintain digital files for properties and projects. • Property Management Support: o Update rental listings on platforms like Zillow or local rental boards. o Coordinate with vendors and contractors for property maintenance and development projects. • General Support: o Provide ad-hoc support for new development projects, such as permitting or documentation. o Contribute to marketing efforts, such as creating flyers or social media posts for rentals. Qualifications • Required: o 2+ years of administrative or office experience. o 1+ years of experience using QuickBooks (Online or Desktop) for bookkeeping tasks. o 1+ years of experience using Buildium Property Management Software for tenant and property management. o Proficiency in Microsoft Office Suite (Word, Excel, Outlook). o Strong organizational and communication skills (written and verbal). o Ability to multitask and prioritize in a fast-paced environment. o High school diploma or equivalent. o Reliable internet and a secure workspace for remote work. • Preferred: o QuickBooks ProAdvisor certification. o Experience in property management or real estate. o Familiarity with Alaska’s rental market or local regulations. o Associate’s or Bachelor’s degree in business, accounting, or a related field. o Local to Sterling or Kenai, AK, for occasional in-person meetings.
